2. Information We Collect
Contact and inquiry forms: When you submit a contact form, article submission form, chapter application, or any other form on this site, we collect the information you provide — which may include your name, email address, institutional affiliation, and the content of your message or submission. We use this information to respond to your inquiry and to manage our programs.
Comments: If you leave a comment on our site, we collect the data shown in the comment form (name, email address, optional website), as well as your IP address and browser user agent string to assist with spam detection. An anonymized string created from your email address may be shared with the Gravatar service to check whether you have a profile image. • Process and manage chapter applications, volunteer inquiries, and Ambassador Program applications

• Detect and prevent spam and malicious activity
• Improve the functionality and security of our website
We do not sell, rent, or share personal information with third parties for commercial marketing purposes.
6. Who We Share Your Data With
We do not sell or share your personal information with third parties except in the following limited circumstances:
• Service providers: We use third-party services to operate our website and programs (including WordPress/IONOS hosting, JotForm for forms, GiveButter for donations, and email services). These providers have access to information only as needed to perform their functions and are not permitted to use it for other purposes.
• Password reset: If you request a password reset, your IP address will be included in the reset email.
• Legal requirements: We may disclose information if required to do so by law or in response to valid legal process.
7. How Long We Retain Your Data
Comments: Approved comments and their associated metadata are retained indefinitely so that follow-up comments can be recognized and approved automatically.
Form submissions: Contact form submissions and program applications are retained for the period necessary to manage the relevant program or inquiry, and then deleted or anonymized in accordance with our internal data management practices.
Registered users: For users who register on our website, we store the personal information provided in their user profile. All registered users can view, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also view and edit that information.
8. Your Rights Over Your Data
If you have left comments on this site, submitted a form, or registered an account, you may request:
• An exported file of the personal data we hold about you, including any data you have provided to us
• That we erase any personal data we hold about you

9. Where Your Data Is Sent
Visitor comments may be checked through an automated spam detection service. Form submissions are processed through JotForm’s servers. Donation data is processed through GiveButter. Website data is hosted by IONOS. These services may store or process data outside of the United States.
10. Security
We take reasonable technical and organizational measures to protect the information we collect against unauthorized access, disclosure, or destruction. However, no internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.
11. Children’s Privacy
Our website is not directed at children under the age of 13, and we do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us at directors@sentinelresearch.org and we will delete it promptly.
